Record360 is one of the best-known inspection apps in equipment and vehicle rental, and for good reason: it has been documenting check-out and check-in condition for large fleets for years. It is also an enterprise product priced by quote, sold to operations with many locations and an integration wish-list. DepotProof is built for the single depot with a phone at the counter. Same problem, very different scale.

Price

Record360 does not publish prices. Its pricing page says pricing is tailored to your asset mix, team size, locations and use cases, that you only pay for what you need, and that you get a personalised quote based on your industry and number of locations. There is no free trial described on that page.

DepotProof is A$59 per depot per month, for unlimited users and handovers, with a 14-day trial. The card is taken at signup and nothing is charged for 14 days. The price is on one page and it is the only price.

Neither approach is wrong. Quote-based pricing lets a large operator negotiate for fifty locations. A published flat rate lets a small one decide in an afternoon.

What Record360 does that DepotProof does not

Record360's feature list is long and much of it is real capability DepotProof does not attempt:

  • Video as well as photographs.
  • Marking up photographs on the screen, drawing on the image to point at damage.
  • AI that flags damage, so staff are not reviewing every frame themselves.
  • Multiple inspection types: check-out, check-in, service intake, trade-ins, quality checks.
  • Integrations with rental and fleet systems, and workflows across many locations.
  • Geo-tagged media, a position on each capture.

If your operation needs any of those, particularly video or integrations, Record360 is the more capable product and DepotProof is not a substitute.

What DepotProof does differently

DepotProof narrows the job to the handover record and makes a few choices Record360's site does not describe:

  • A guided camera. One angle named at a time, one large button, no way to skip. The point is that a weekend casual and the depot manager produce the same seven photographs, which is what makes two runs comparable.
  • The comparison as the document. One landscape page per angle, pickup on the left, return on the right, each timestamped. Damage typed at return is printed on the cover, not in an appendix.
  • Offline capture. Once a handover is under way, every photograph and signature is written to the phone and uploaded when the app is next open in range. The first load needs a connection; the capture does not.
  • Signatures at both ends from the renter and the staff member, on the same phone, printed with the time.
  • Nothing to install. It is a web app that adds itself to the home screen.

We do not draw on photographs, detect damage with AI, record video, or tag each photograph with a position. DepotProof records one position per handover, where the phone was when the handover was started, and prints "Not recorded" when the phone cannot supply one. A human writes the damage note.

Australia and New Zealand

Record360 is a US company selling worldwide. DepotProof is built for Australian and New Zealand hire operators: the price is in Australian dollars, the report's times are printed in your depot's own time zone and labelled with it, and the guides on this site are about the Australian Consumer Law and the New Zealand Consumer Guarantees Act rather than US state law. Whether that matters depends on how much you want to explain to a vendor.

Which one

Choose Record360 if you run many locations, need video or integrations, or want AI reviewing photographs, and you have the appetite for a sales process.

Choose DepotProof if you run a depot or a few, want a published price, and the thing you actually need is a side-by-side record a renter cannot argue with. Start the trial and run a real pickup today; there is no sales call between you and the report.
