DepotProof vs HireHop: rental software with photos, or photos alone

HireHop is cloud-based equipment rental software used well beyond its UK home: stock, bookings, invoicing, customer records, multi-location management, and on the check-in and check-out screens, photographs of the item's condition. DepotProof is only the last part, done as a guided handover on a phone and turned into a comparison PDF. The two overlap on a single feature and differ on everything around it.

What each one is for

HireHop manages the hire. Its strength, by reputation and by its own description, is stock management: knowing what you have, where it is, and when it is booked. Photographs on check-in and check-out are there so the condition is recorded inside the same system as the contract, and staff can add notes, files and signatures in the app.

DepotProof records the condition, and only that. A staff member walks a checklist on the phone, one angle at a time, at pickup and again at return. The two runs come back as one PDF with each angle beside itself. It sits beside HireHop, or a spreadsheet, or nothing.

HireHop's free plan is a genuine advantage for a very small operation, and its per-user pricing is normal for rental management software. For a depot with several people logging in, add the seats up and convert the currency before comparing with DepotProof's single line.

The condition record

HireHop lets you add photographs on the check-in and check-out screens from a mobile device or a PC, along with notes and a signature. That is a record. It is not, from HireHop's description, a guided checklist: nothing names the seven angles or refuses to move on until each is taken, so the set of photographs is whatever the staff member decided to take that day.

DepotProof's whole design is that decision being removed. The screen names one angle, shows one large button, and will not continue until the shot is taken or past the last one until every shot is. Two runs a week apart produce the same seven angles, which is what makes them comparable on one page. The report puts pickup beside return per angle, with timestamps, the damage note on the cover, and signatures from the renter and the staff member at both ends.

If your dispute rate is low and a few photographs on the contract satisfy your insurer, HireHop's approach is enough and you already have it. If you have lost an argument because the return photo was taken from a different side, the checklist is the point.

Offline

DepotProof keeps capturing without signal once a handover is under way and uploads when the app is next open in range. HireHop is a cloud application and its site does not describe offline photographs; assume a connection is needed until HireHop tells you otherwise.

Which one

Choose HireHop if you need rental management and are happy for the condition photographs to be whatever staff take on the check-in screen. Its free tier makes trying it easy.

Choose DepotProof if you are keeping the system you have and want a disciplined, comparable record from every staff member, in a yard that may not have signal. Pricing is one number; the trial is one handover.
